General Description of Role

M&E Manager in collaboration with Survey Coordinator will manage Monitoring & Evaluations and impact assessments for researchers who have to conduct such assessments as part of their projects. This will include putting together a field team, training and supervising them and guiding with the survey/assessment design as well implementation of their techniques. He/She would design and implement monitoring tools and impact assessments policy as well as manage the data analysis. He/She would design M&E trainings in collaboration with Center for Capacity Building – CCB. He/She will also ensure a comprehensive and effective close collaborations with NGO partners and donors.

Position Objectives

This position will work with the SDPI Research team, to organize all kinds of impact assessments and M&E projects through collection, analyzing and using data/information. The position will monitor information streams of Monitoring & Evaluation sectors. He/She is required to prepare proposals for impact assessment/M&E for various donors/partners. And will also be responsible for report writing.

Terms of Reference

  1. Design and implement Monitoring tools and impact assessment policy
  2. Support and help in collection of field based data with the monitoring tools developed, analyze, interpret information gained and provide feedback.
  3. Help in managing and arranging M&E logistics for researchers conducting surveys as part of their projects. This may include putting together a field team, training and supervising them and assisting with the survey design.
  4. Provide Consultation and synthesize a process for utilizing baseline information in documentation
  5. Presentation of M&E results at appropriate forums
  6. Management of data analysis, prepare reports with findings, ensuring they are produced on time and are consistently of a high quality
  7. Collaborate and coordinate with SDPI survey team for evaluation of different donors projects
  8. Help train the resident research staff and field staff in M&E techniques, research methods, fieldwork and data collection.
  9. Conduct and Design M&E training for in-house Trainings
  10. Design a comprehensive and effective close collaborations with NGO partners and donors
  11. Perform other job related tasks assigned by the Executive Director or his/her nominee.
  12. Knowledge of statistical database/software with excellent report writing skills.

The Executive Secretary is responsible for managing and/or providing support services, including but not limited to: providing secretarial, administrative and project research support to the Executive Director, and other general support services at a particular site in support of the Executive Director's office and other programs/units goals and objectives.

Terms of Reference

  1. Maintain general administrative files including but not limited to, internal and external correspondence, contracts and appropriate subject files. Ensure confidentiality of sensitive files.
  2. Arrange Fellows Council meetings and provide assistance, including but not limited to: initial preparations, circulating agenda, record status of follow-up actions, taking minutes, and circulating minutes after the meeting.
  3. Arrange meetings of the SDPI Board of Governors and provide assistance, including but not limited to: assisting the Executive Director, Finance unit head in preparing the agenda of the meeting and working papers for the meetings, sending notices of meetings and coordinating the venue and time and date of the meeting; confirming attendance, and coordinating travel, hotel, pick-and-drop and meeting preparations, including lunch and tea with the Head of Administration. Also includes keeping track of BOG members' length of membership and its expiration.
  4. Assist in project research activities and providing assistance, including but not limited to: formatting and printing of papers, reports, and documents, translation work, data coding, entry and initial analysis, and providing research assistance.
  5. Provide assistance and support in organizing Annual Sustainable Development Conference and other similar events, including but not limited to correspondence with participants, visa facilitation letters/communication, help the coordinator with conference reporting.
  6. Provide secretarial services, including but not limited to: typing, independent correspondence, making travel arrangements, connecting telephone calls, taking messages, translating, photocopying, and collating documents.
  7. Provide assistance to Finance and HR units at SDPI in mutually agreed activities
  8. Excellent business communication
  9. Maintain and organize papers, documents, books and periodicals
  10. Maintain and organize address and telephone lists, in soft and hard copy
  11. Train secretarial staff of the institute to serve as backup when needed
  12. Represent SDPI positively and professionally in both internal and external relations and situations
  13. Serve as a liaison between the Executive Director's office and other programs/units at SDPI, as needed or assigned
  14. Membership of Committee(s)
  15. Any other job related task as determined by the Executive Director or nominee
  16. Attend and represent SDPI at external conferences.

Terms of Reference

  1. Attend all incoming telephone calls promptly and professionally, and connect to concerned staff Where necessary, take messages and maintain a system to ensure message delivery
  2. When requested, connect local and overseas telephone calls
  3. Receive and distribute mail, faxes and courier packages
  4. To maintain and update office telephone directory and keep an update list of telephone numbers and addresses of the concerned individuals
  5. Arrange dispatch for domestic and international courier packages
  6. Prepare and maintain log of all incoming and outgoing international courier packages, and STD/ISD calls/faxes. Mark personal use of these facilities on monthly bills
  7. Operate and maintain the EPABX. In case of any failure, inform the maintenance vendors immediately and get the fault corrected. If there is delay, the Office Manager is to be informed
  8. Be available at the reception during work hours
  9. Receive guests and inform the concerned staff, be polite and helpful to the visitors.
  10. Ensure the reception area is well maintained, neat and secure
  11. Prepare and submit following daily reports for signatures:
    Courier mail, STD/ISD calls (daily signed by the requesting person) Outgoing fax
  12. Maintain weekly seminar file
  13. Maintain attendance register
  14. Perform reception duty at the external seminars and conferences.
  15. Excellent communication skills
  16. Any other related responsibility as determined by the Executive Director or his/her nominee.

Terms of Reference

  1. Work with the CCB support team to complete physical arrangements for all training events which will include venues and logistics
  2. Assist in market surveys and TNA studies
  3. Develops and implements agreed upon Marketing Plan which will meet both personal and business goals of expanding trainees base in the marketing area
  4. Works within the CCB support teams for the achievement of organizations/trainees satisfaction, revenue generation, and long-term account goals in line with SDPI vision and values
  5. Strong understanding of customer and market dynamics and requirements
  6. Market of trainings through publicity and liaison with potential clients
  7. Deliver sessions as a co-trainer
